The Center for International Forestry Research advances human wellbeing, environmental conservation and equity by conducting research to inform policies and practices that affect forests in developing countries. CIFOR is looking for a
Secretary for the CGIAR Research Programme Forest, Trees & Agroforestry
 
Under the supervision of the Director of the CGIAR Research Programme on Forests, Trees and Agroforestry (CRP6), the Secretary will provide general secretarial and administrative support to the Management Support Unit of CRP6.
 
Duties and responsibilities:
 
1.       Coordinate the Director's and/or MSU staff, senior associates' schedules and agenda.
2.       Provide administrative support such as doing correspondence (including translation), taking and writing up minutes of meetings, report writing, preparing presentation materials and other written and illustrative materials as required.
3.       Assist in the completion of requisition and Travel Authority forms; arrangement of travels and accommodations etc.
4.       Assist in the planning and coordination of meetings, workshops, seminars, visits or other events in or outside CIFOR; responsible for event logistical matters such as accommodation, transportation (both air and ground), distributing invitation letters, liaising with relevant departments in the visa/permit process and other logistical matters as necessary. These activities are done in coordination with the Events Coordinator, the Finance & Administration office and the HR office and other relevant staff or offices.
5.       Manage and maintain the filing system, database and web-based applications or repositories.
6.       Support the MSU Director and staff in the development of contracts for partners and collaborators, and liaise with the relevant offices in the finalization of the contracts.
7.       Maintain and monitor supplies of forms and other office requirements.
8.       Perform other tasks as may be required to support the smooth functioning of the office, support and work with colleagues within the office and with other CIFOR staff.
 
Requirements:
Education, experience and technical skills:
·         Diploma in secretarial, administration or other related fields.
·         Three or more years of experience in secretarial duties.
·         Knowledge of administrative standards and practices.
·         Knowledge of finances is an advantage.
·         Fluent written and spoken English, able to draft letters in official English and conduct business in English through email and other means of correspondence.
·         Good computer skills in word processing, spreadsheets, presentations, internet and other relevant office applications.
·         Knowledge of CIFOR procedures is a plus.
 
Personal attributes and competencies:
·         Competent in personal organisation and priority setting, with the ability to work efficiently under time pressure and manage multiple priorities.
·         Have initiative, capable of working independently and an effective team player.
·         Good interpersonal and communication skills, with the ability to effectively interact with people in a multi-disciplinary and multi-cultural environment.
·         Experience working with a wide and diverse network of groups and individuals.
 
Terms and conditions:
·         This is a nationally recruited position. CIFOR offers a competitive remuneration commensurate with skills and experience.
·         The appointment will be for 2 years (including 6 months probationary period) with the possibility of extension contingent upon performance, continued relevance of this position and available resources.
·         The duty station will be at CIFOR Headquarters in Bogor, Indonesia.
