URGENTLY REQUIRED
 
Our Client a Global Luxury Hotel Company in Dubai is looking for a qualified Personal Assistant to assist the Senior Vice President office and his team which is focus on Food and Beverage efforts of its luxury flag.
 
Financial Accountabilities:
Keep track and control of Office expenses
Holding Travel expenses overview of the Department
Responsible for petty cash expenses associated with the Senior Vice President Food Beverage
 
Purpose:

To ensure that the planning, coordinating, administration as well as communications and information functions and duties of the Personal Assistant are carried out in a professional, discreet, exact and prompt manner in accordance with the expected standards.
 
Main Duties:

Ensure that a high degree of confidentiality is maintained and where appropriate strict security is observed for private and confidential status documentation and information

Typing of all correspondence and reports of the SVP Food and Beverage, Culinary Director and GM Operations, received in manuscript or dictated form.

 Arranging and coordinating Monthly Global F&B Leader Calls, setting consolidated Agendas and Meeting minutes.

 Must have an excellent command of the English language, written and
spoken, is computer literate, possesses exceptional accuracy and shorthand, typewriting and has the ability to perform self-initiated correspondence. 

Is honest, helpful and able to work under pressure.

Has all the necessary paperwork to hand for the current working day.

 Filing of all Development papers, updating filing system when
necessary to ensure easy reference.

 Taking incoming and placing all outgoing telephone calls promptly and

courteously in a mature manner and in accordance with the JG
procedures.

 Greeting all guests and clients in a friendly manner and dealing with
them as appropriate.

 Opening all correspondence addressed to the SVP unless clearly
marked private and confidential.

 Checking the client information as much as possible and arranging a show around of all JG properties as requested.

Maintaining stocks of stationery and it is kept in good working
condition

 
Administrational:
Check all incoming e-mail and make the necessary follow up with
relevant persons / departments.

Receiving and sorting incoming and outgoing mail whenever
necessary.

To manage an efficient and effective trace system for the SVP to
ensure action is taken at the appropriate time on relevant matters.

Similarly ensure follow up is done on matters initiated and requiring a
response and deadlines are kept.

Business card scanning and updating the business contact list.

To prepare and submit Departmental reports to corporate executives
before the due date on a monthly basis, with prior approval of the
SVP.

Coordinate meetings and meeting room bookings as required and
prepare the minutes for distribution whenever necessary.

Liaising with all department heads and colleagues in a spirit of team
work to ensure a smooth and efficient administration.

Keep the SVP informed of appointments and meetings scheduled.

Maintain identical diaries of events, having ready the necessary
correspondence / reports available to assist at meetings.

Working according to the workload and pressure and being available
for overtime when required.

Liaising with the travel agents on flight arrangements, Pick up and
Transport both personal and business and also arrange hotel
accommodation.

Keeping purchase requests in the Adaco system up
to date.

Adapting a smart and professional dress code in accordance with set
standards.

Keeping all read, told, overheard information of the company and
management strictly confidential at all times.

Any other duties as may reasonably be requested by the management.
 
Qualifications:
Secretarial course / diploma is desirable
 
Experience:
Minimum 3 years' experience as Executive Secretary / Personal
Assistant to Senior Management
 
Skills:
Good Command of English Language – both spoken and written
Good telephone manners is essential for the job
Good knowledge of tracing files and documents
The candidate needs to be approachable and flexible at all times
